Firm-level calendar delegation
How firm admins assign staff to manage other lawyers' calendars and bookings.

Firm delegation is in beta. It requires both the **Calendar delegation** beta and the **Firm** beta to be enabled on your account.
What firm delegation does
Firm delegation lets an owner or admin assign one firm member as the **delegate** of another firm member's calendar — without needing the delegated lawyer to set it up themselves. This is the firm-wide version of personal calendar delegation.
Use it when a paralegal or receptionist needs to manage multiple lawyers' calendars, or when you want centralised availability management across the firm.
How this differs from personal delegation
**Personal delegation** is when a lawyer adds their own delegate (e.g. "my paralegal Maria can manage my bookings"). **Firm delegation** lets the firm owner or admin do the same thing across the firm without involving the lawyer each time. Both produce the same kind of delegation record and the same "on behalf of" transparency on every action — see the Calendar delegation article for the underlying mechanics.
Requirements
- You must be a firm **owner or admin** to create or revoke firm delegations.
- Both the delegate (the person managing) and the lawyer (whose calendar is managed) must be active members of the same firm.
- The delegate must have accepted the firm and delegation beta agreements on their account.
How to assign a firm delegate
Open **Dashboard → Firm → Delegates**. You see the current active delegations across the firm.
Step-by-step
- Click **Assign delegate**.
- Pick the **delegate** — the firm member who will act on behalf of someone else.
- Pick the **lawyer** whose calendar they should manage.
- Confirm. The new delegation appears immediately with the default permission set.
Permissions a delegate can have
Each delegation carries a permission set. By default firm delegations include calendar + bookings management; you can edit each delegation to widen or narrow the permissions:
- **View calendar** — see your weekly schedule and booked slots.
- **View bookings** — see booking details including client name and agenda.
- **Manage availability** — toggle working hours, mark time off, add holidays.
- **Manage bookings** — confirm, cancel, or mark no-show on your behalf.
- **Manage reschedules** — propose or accept reschedule requests for you.
- **View financials** — see earnings and invoices (useful for accountants).
Every action a delegate takes is labelled "on behalf of {lawyer}" in the activity log and in client-facing messages. Clients always know whether they are talking to the lawyer or to a delegate.
Revoking a delegation
Click the revoke icon next to a delegation on the Delegates page. The delegation becomes inactive immediately; any in-progress action the delegate had started is cancelled.
Activity and audit
Every assign, edit, and revoke is written to the firm audit log with the actor, the affected lawyer, and the affected delegate. Owners can review this from the firm settings audit screen.
