If your organization supports refugees, asylum seekers, or migrants in Spain, you know how critical legal access is — and how hard it is to provide. LeyApp's sponsored consultation feature lets your team connect beneficiaries with verified immigration lawyers, while respecting every individual's privacy and autonomy.
This guide walks through how to set up and manage sponsored consultations for your organization.
Setting Up Your Organization
- Create a LeyApp account and set up your organization profile.
- Add team members who will manage sponsorships. Assign roles:
- Owner/Admin — can create sponsorships, manage bookings, view all updates, and configure organization settings.
- Member — can create bookings and view status updates, but not detailed progress notes.
- Viewer — can see sponsorship summaries only (useful for accounting or oversight roles).
Inviting Beneficiaries
For each person your organization wants to support:
- Go to your Bookings page and click Sponsorships.
- Click Invite Beneficiary and enter their name and email.
- Set the purpose (e.g., "Asylum legal consultation") and optionally an internal reference (your case number).
- Set limits: maximum consultations (default: 10) and maximum fee per consultation.
- The beneficiary receives an email invitation in their preferred language.
The beneficiary must accept and set their privacy preferences before any booking can proceed. You cannot override their choices.
Three Booking Modes
Depending on what the beneficiary prefers:
- You choose the lawyer — your team selects a lawyer and the booking is created immediately. Best for efficiency when you have established relationships with specific lawyers.
- You propose, they approve — your team suggests a lawyer, and the beneficiary reviews before anything is booked. Recommended as the default — it balances efficiency with beneficiary autonomy.
- They choose — you provide a voucher with a budget amount, and the beneficiary browses LeyApp to find their own lawyer. Best for beneficiaries who want full control.
Managing Budgets
Each sponsorship has independent limits:
- Booking limit — the maximum number of consultations (e.g., 3 per beneficiary).
- Budget limit — the maximum fee per consultation (e.g., up to 200 EUR). If a lawyer's fee exceeds this, the booking is blocked.
These limits are enforced automatically. No team member can exceed them.
Notification Options
Organizations can choose between:
- Real-time (default) — team members receive notifications immediately as events occur.
- Daily digest — notifications are batched into a single daily summary, grouped by beneficiary. Urgent events (cancellations, payment failures) always come through immediately.
Configure this in your organization settings.
What You Will See
Your visibility depends on each beneficiary's privacy settings:
| Information | Always visible | If beneficiary allows status | If beneficiary allows notes |
|---|---|---|---|
| Payment confirmation | Yes | Yes | Yes |
| Booking status | No | Yes | Yes |
| Lawyer progress notes | No | No | Yes (if lawyer shares) |
| Case details, documents | Never | Never | Never |
Each beneficiary sets their preferences independently. One may share everything; another may share nothing beyond payment confirmation.
Best Practices
- Explain the invitation clearly. Tell beneficiaries in person what the sponsorship means before they receive the email. This builds trust and reduces anxiety.
- Use "propose and approve" mode as the default. It gives beneficiaries a voice while keeping the process efficient.
- Set realistic budget limits. Immigration consultations in Barcelona and Madrid typically range from 80 to 200 EUR.
- Review sponsorships periodically. Check your dashboard for expired invitations or completed sponsorships that can be closed.
- Respect the beneficiary's choices. If someone declines or revokes, do not pressure them. The 90-day cooldown exists for a reason.
